About the role
The purpose of the tender team is to manage the tender selection process, and to co-ordinate the response of the technical sections by liaising with subject matter experts who have the specialist knowledge required. The Tenders Co-ordinator will report to the Bid Manager and will co-ordinate the preparation of tenders from all stages of the process from opportunity review to post-submission. The role will track progress ensuring that the relevant staff are requested for information that they need to provide, and they are aware of the deadlines. You will also be responsible for completing tenders in full where the technical requirements are clear and fully understood within the tender’s team, preparing both the technical and non-technical text and costing proposals for review by a technical lead.
About you
As Tenders Coordinator you will demonstrate excellent presentation, verbal and written communication skills with strong attention to detail. You will be confident in speaking and influencing people at all levels of management, as well as delivering on the expectations of internal and external stakeholders. You will have excellent time management and prioritisation skills to effectively manage large and varied workloads. As well as the ability to meet deadlines in a high-pressure environment, while seeing each time through to completion. You will be able to work remotely, as well as travel into office when required.
Key responsibilities and accountabilities:
- Track all tenders from opportunity stage to submission
- Co-ordinate specialist input from technical teams where required, ensuring the requirements and specific deadlines are clear
- Where appropriate, be responsible for the full preparation of tenders ready for submission. This will require close scrutiny of client Invitations to Tender to ensure the requirements are clear, requesting clarifications where necessary, preparing both the technical and non-technical elements of our submission. Prepare costings for these tenders too and prepare the proposed rates for approval by senior staff. Submit, or oversee submission, of these tenders on time and to the required standard
- Seek approvals for medium and large tenders from senior staff and Board of Directors
- Keep the tender process under continuous improvement, suggesting ways in which the team can remove work from fee-earning consultants and once approved, implement these ideas
- Track the feedback received from clients for both successful and unsuccessful tenders and suggest ways in which we can improve to increase our scores
- Check the tender book regularly to ensure that the business information about our large tenders is correct and up to date
Required skills:
- 12 months experience within bids and tenders
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) is essential
- Strong written and spoken English skills are required
- Ability to multi-task as there is an often need to work on multiple bids at one time
